For each grants program administered by the department or any division, a provisional list of recipients and supporting documentation for a grant round shall be forwarded by the Chief of the responsible division, by way of the appropriate Deputy Director, for the Director's review and final approval. This information must be provided to the Deputy Director no less than three weeks prior to the intended release date and at the same time shall be copied for planning purposes to the Assistant Director, the Chief Legislative Liaison and the Chief of the Office of Public Information & Communications.
The Legislative Liaison shall prepare for notification to legislators. The Office of Public Information & Communications, in consultation with the Governor's Communications Office, shall prepare for announcements to the media. The responsible division shall prepare notification to grant recipients and other applicants. The Office of Public Information & Communications shall coordinate the manner and timing of all such notifications.
Upon receipt of the provisional list, the Director shall advise the Governor's Office and make final determination of grant recipients. No notification or announcement of grants shall be made until final sign-off of the recipient list has been received from the Director.
